The Fersitec Proyectos y Tecnologias on-site team works from offices in Murcia, Madrid, and Ibiza, but they also cover the entire peninsula and the Balearic Islands.

Alberto Marin Lopez, Accountant at Fersitec, explained that during installation projects, on-site employees were relying on cash payments, saving receipts for submission later. 

On-site employees weren’t comfortable having to carry cash and manage physical receipts, while in-office staff were left frustrated by the manual work required to process these receipts and invoices. 

When looking for a solution, Alberto’s primary goal was to find a more efficient way to manage expenses and invoices for on-site staff. Since the company had never used an accounting tool for expenses, they weren’t sure what to expect.

Once Fersitec Proyectos y Tecnologías decided to start working with Pleo, the accounting team prepared itself for the transition. Luckily, it proved to be a lot easier than they anticipated.

Onboarding with Pleo was far quicker and simpler than Alberto expected:  “I was surprised, I actually expected a much longer process to structure and implement the service,” he explained. Rather than the eight to ten sessions Alberto anticipated, everything was complete within just three sessions. 

Alberto noted that this streamlined process was partly down to Pleo’s straightforward user guide, and partly thanks to the fact that everything was explained very clearly, right from the start.

Thanks to that process, it didn’t take long to adopt the system. Within a short space of time, 15 out of 21 users are already actively using Pleo.

Alberto mentioned that Pleo has significantly improved operational efficiency and reduced the workload of the admin team: “It’s a very useful application that saves you a lot of headaches,” he said. 

Not only this, but Fersitec Proyectos y Tecnologias were able to streamline spend for their other child companies too, with Alberto adding that he “sees a great benefit in setting up multi-company access to use three companies within the same app.”

Improving employee satisfaction 

Thanks to Pleo, on-site employees no longer need to carry cash or remember to save each receipt for out-of-pocket expenses. “On-site staff are very pleased,” explained Alberto.

And it’s not just on-site staff who are feeling the positive effects. The in-office team is happy they no longer have to use messy, time-consuming manual processes to manage expenses.
